Sponsorship of participants in a scientific event (V1)

Each visa application must be submitted

  • no later than the 15th working day prior to the first day of the scientific event
  • prior to inviting/sponsoring participants

‘Working day’ means Monday, Tuesday, Wednesday, Thursday and Friday, with an exception for the public holidays.

Sponsorship of the organizer of a scientific event (V2)

Each visa application must be submitted

  • no later than the 15th working day prior to the day the scientific event starts
  • before any funding is made available to the organiser

‘Working day’ means Monday, Tuesday, Wednesday, Thursday and Friday, with an exception for the public holidays.

Particular cases: shortened deadlines (V1 and V2)

a) Mdeon has created a shortened submission deadline of minimum six working days prior to the first day of the scientific event for four very specific situations, namely:

  • when the event convenes ON THE SPOT maximum 15 participants and speakers, all nationalities merged,
  • when the visa application concerns a healthcare professional taking part in the scientific meeting as a consultant
  • in case of reintroduction of a visa application as a result of a substantial modification (after visa)
  • in case of reintroduction of a visa application as a result of a refusal (concerning a dossier submitted on time).

b) Mdeon has also created a shortened submission deadline of minimum of two working days prior to the first day of the scientific manifestation in the event of an emergency (urgency procedure). In this case, the visa application must reach the secretariat no later than 12:00 (noon) of the second working day preceding the day of the start of the scientific event (click here for more info).
